1. Who this policy covers

This policy describes how MDNB Design Studio (MDNB, “we”, “us”), ABN 42 714 495 257, handles personal information through mdnb.com.au, MDNB Studio and our project communications. It covers prospective and current clients, property owners, builders, developers and other project contacts.

2. Information we collect

• Contact and business details, including your name, email, telephone number, company and role.
• Project details, including the property address, proposed work, budget or fee information, approval pathway, brief and information supplied in enquiry forms.
• Plans, surveys, specifications, consultant reports, approval records, photographs and documents supplied for a project.
• Correspondence, project comments, progress records, agreements, quotes, invoices and payment records.
• Account, session and access information used to operate and protect Studio, together with technical and website usage information described below.

Please only provide information relevant to your enquiry or project. If you supply another person’s details, make sure you have authority to do so and let them know about this policy.

3. How we collect and use information

We collect information directly when you submit a form, contact us, use Studio or provide project documents. We may also receive project information from an authorised representative, builder, consultant, council, certifier or publicly available property and planning records.

We use it to prepare and respond to enquiries, define services, prepare designs and documentation, coordinate consultants and applications, manage project tasks and communications, issue financial documents and maintain business records. We also use relevant technical information to maintain, troubleshoot and protect our services.

Project-related emails sent to or from our connected business mailbox may be saved against the corresponding project, with internal notes or summaries to support our workflow. Information unrelated to your project should not be included in project correspondence.

You can make a general enquiry without supplying full project details. We may be unable to provide a quote, manage approvals or deliver services without the identifying and property information needed for that work.

4. Studio access and shared documents

Client project pages use private viewing links. They show the project information and documents made available to the client; internal notes and financial records are kept separate from that client view.

A viewing link grants access without a password. Keep it private and only forward it to people you authorise. Contact us if it reaches the wrong person so we can revoke or replace it. Revoking access cannot remove copies already downloaded by a recipient.

5. Service providers and other recipients

We use service providers for website and application hosting, data and file storage, authentication, email, calendar and document processing. The platform uses services supplied by OpenAI, Cloudflare, Google and Supabase. Where enabled and used by staff, automated drafting tools may process selected project context, draft wording or reference documents to assist preparation of quotes, invoices or notes. Staff remain responsible for reviewing that work.

We may share relevant information with consultants, engineers, surveyors, energy assessors, builders, councils and certifiers as needed for the services you engage us to provide. We may also disclose information to our professional advisers or where required or permitted by law.

Some providers operate internationally, so information may be processed or accessed outside Australia, including in the United States. Processing locations depend on the service and its arrangements; we do not represent that all information stays in Australia. Contact us for information about providers relevant to your project.

6. Website measurement and browser storage

If you allow advertising measurement, we load the Google Ads tag to connect ad interactions with successfully saved project enquiries. Google may receive browser and device information, page URLs, advertising click identifiers and an opaque enquiry reference used to prevent duplicate counting. We do not send your name, email, phone, project suburb or enquiry text to Google Ads. Personalised advertising and enhanced conversions are disabled. You can decline or change your choice using Advertising measurement preferences in the website footer. Declining does not affect your enquiry. The tag is not loaded on private Studio pages, or when Do Not Track or Global Privacy Control is enabled.

Our public website records page visits, a randomly generated visit identifier, referring website domain, device category and active viewing time. The measurement records do not include enquiry text or email addresses. A temporary visit identifier is kept in browser session storage, with a 30-minute reuse window.

This measurement respects browser Do Not Track and Global Privacy Control signals. Studio uses browser storage and session mechanisms for preferences and access. Hosting and security providers may process technical request information, such as IP addresses and browser details, when delivering or protecting the service.

You can manage browser storage through your browser settings; disabling it may affect saved preferences or access features. Links to Instagram, Facebook, Google and other external services are governed by those services’ own privacy practices.

7. Contact preferences

The website enquiry form records whether you ask us to contact you about your project. Submitting that form does not subscribe you to marketing. Project and service communications are handled separately from promotional communications. You can ask us to stop promotional messages by replying or contacting us below.

8. Security and retention

We use access controls, private file storage and protected connections to help safeguard information. No online service can guarantee absolute security. Tell us promptly if you suspect unauthorised access or an incorrectly shared project link.

We retain information for as long as reasonably needed to manage enquiries, provide services, maintain project and accounting records, resolve disputes and meet applicable legal obligations. Retention depends on the record and circumstances. You may request deletion; some records may need to be retained for those purposes, and removal from backups may take additional time.

9. Access, correction and complaints

Contact us to request access to your personal information, correct an error, ask about deletion or raise a privacy concern. Include your name, relevant project address or enquiry reference and what you would like us to review. We may need to verify your identity before releasing or changing records.

We will review your request and explain the outcome or any reason we cannot fulfil it, subject to applicable law. For a complaint, we will investigate and respond as soon as reasonably practicable. If you remain dissatisfied, you can contact the Office of the Australian Information Commissioner, where it has jurisdiction.
